Introduction
Encapto Terms documents can be associated with a hotspot to appear at the logon screen of an Encapto portal, or to a Survey, where they will appear on the Survey form.
When applied to a Hotspot, Terms documents are used to detail the rights and responsibilities of end users of the Wi-Fi service and are an essential part of managing any Wi-Fi network. Encapto end users are required to check a box, which indicates they agree to the Terms of Use before proceeding to use the Wi-Fi network.
When applied to a Survey, Terms documents are used to let users know how the data being collected in the Survey will be used. This is a legal requirement in many jurisdictions when collecting Personally Identifiable Information (PII).
In either case, network managers will often need to produce their own Terms documents, which are tailored to the legal and regulatory requirements in which they operate. They may also have formatting requirements defining how the Terms documents display. Encapto enables the creation and formatting of multiple Terms of Use documents, which can then be assigned to one or more Hotspots or Surveys.
Create and Edit Terms documents from List View
To access Terms documents, logon to the Encapto Wi-Fi Cloud Deck account.

Click Terms documents under ASSET LIBRARY.
TIP: This view shows all existing Terms documents on the account. If no Media have been uploaded a prompt will appear with a button to Get started. Clicking this button has the same effect as clicking the +New button.

Click the +New button to add a new Terms documents document.

Search Media Items by name or tag in the search bar.

Select one or more Media Items using the checkbox, and:

Delete the Item; or
-
Edit tags on the Item (will become an Add tags button if multiple Items are selected).

Rename the Terms documents (only available for single selections).

Duplicate the Terms documents (only available for single selections).

Assign the Terms documents to a Hotspot or Survey.

Click on a non-active area of a line item to edit the Terms documents.

Click a link under ASSIGNED TO THESE HOTSPOTS to access the Hotspot that the Terms documents has been assigned to.

Click a link under ASSIGNED TO THESE SURVEYS to access the Surveys that the Terms documents has been assigned to.

Click the Preview button to see how a Terms documents will display.
Create Terms documents
To create Terms documents, click the +New button as described above, then:

Give the Terms a Name (for admin purposes – will not appear on the Portal).

Search and select an existing tag or press enter to create a new tag to help you locate the Terms documents later (optional).

Add Description if required (optional).

Create.
Edit and Add Content to Terms documents
On creation you will be taken to the Terms documents Assignment tab. Or any Terms documents can be edited by clicking on a non-active area of its line item in the Terms documents list view. From here, you can edit the name, tags and notes and Assign the Terms documents to one or more Hotspots.
Assign Terms documents to a Hotspot
To Assign Terms documents, select ASSIGNED TO THESE HOTSPOT or ASSIGNED TO THESE SURVEYS click the +Assign button in the ASSIGNMENT panel, select the required Hotspots or Survey and click Save.
TIP: Care should be taken in assigning Terms documents from here as this will override any existing Terms documents applied to a Hotspot.
Adding Terms Documents Content
To add Content to Terms documents:

Click the Content tab.

Click Edit.

Write, or paste text content into the Text area.

Use the buttons and dropdowns at the top of the Text area to style the Terms document.

Save.
